Event Photography FAQs
If you have any other questions, please reach out at ollie@ollierudkin.co.uk
Do we need to send you a written brief?
For events, a written creative brief is not usually necessary, although I'll always review one carefully if provided.
What I do need is the background and purpose of the event, the running order and 'must capture' moments. We can discuss these via email or phone call as preferred.
For conferences, I need a running order (or a draft) in order to give an estimate for the day. This tells me whether I can adequately cover everything myself, or if a second photographer might be necessary. This is rare, but is sometimes the case with large venues, or where there are important things going on simultaneously.
If there are sponsor booths that need capturing, please let me know how many.
How many images will I receive?
I don't cap the number of images, but there is a balance to strike. Over-shooting should be avoided as it can distract or tire guests. Usually I deliver in the range of 50-110 for shorter events and 120-280 for full-day events. There is no hard rule, and it always depends on the project.
Supplier onboarding and Purchase Orders
If your company has a supplier onboarding process, please present any forms that need filling at the soonest opportunity. This helps to avoid last-minute holdups, and delays to POs, invoicing and payment. Please note my payment terms are NET30.
Can you recommend a videographer or additional photographer?
Yes- I have a network of trusted associate photographers who I can bring in to cover additional stages, sponsor booths, step-and-repeats, etc at larger events.
I also have several experienced videographers who I can recommend to clients, depending on the nature of the enquiry.
Can you shoot photography and video at the same time for our event?
Although I enjoy shooting video, at most events there isn't enough time for me to cover both adequately, so I usually recommend bringing on a dedicated person.
How do you deliver the images?
I use a great service called Pixieset. You'll get a password-protected gallery where you can download high-res or web-size images, and share the link with others as needed.
Can we have a few images on the day?
I have a background in press photography, so I'm used to delivering pictures quickly. If you need highlights on the day for press releases, social media, etc- simply let me know your timelines and I'll accommodate. A wider edit is usually delivered within 24 hours.
What retouching/post production do you do?
My fee includes colour grading, ie. colour-correction, exposure and contrast adjustments, to bring the images to the level you see on this website. Additional retouching requests, such as object removal, may attract an extra fee, but this is unlikely to be needed for event images.
Where are you based?
I live in SE London- easy for me to get into town.
Do we need to pay a deposit?
In most cases, no. However, if there are significant travel costs, crew fees, or if the job spans many days, I may request a deposit or advance on a case-by-case basis.
How can we pay you?
Most clients pay by bank transfer. I also accept card payments via Stripe.
Do you need us to sign a contract?
Although we don’t usually ask customers to sign a formal contract, you are still protected by your statutory rights under the laws of England and Wales. In most cases the scope of the job can be confirmed by email.
We'd like to book you! What now?
Drop me an email at ollie@ollierudkin.co.uk and I'll either get back straight away, or if I'm shooting, then within a couple of hours.
